Wedding planners for the Cape Winelands

Every planner listed here works across all six Winelands towns, and most have planned for couples living abroad. This page explains what a planner costs in South Africa, the difference between full planning and on-the-day coordination, and when a destination couple needs one.

The clearest benchmark is Bridebook's 2025 South African survey, which puts a wedding planner at R15 000 to R50 000 on average, with a percentage fee of 10 to 15 per cent of the budget also common. On an average South African wedding of around R200 000 that percentage works out at R20 000 to R30 000; on a planner-led wedding at the R250 000 level that Pink Book has quoted, or the R850 000 and up of an international luxury wedding, the fee scales with it. None of the planners we list publishes a fee on their site, so treat the table as the range to expect in a proposal.

Full planning, partial planning and on-the-day

Full planning starts before you have a venue and ends when the last guest leaves. Partial planning is for couples who have booked the estate and want someone to take over suppliers and logistics. On-the-day coordination is the least expensive tier: the planner steps in a few weeks out, builds the running order, confirms every supplier and manages the day so nobody in the family has to. Skye Events offers all three tiers, Events by May lists several package levels, and The Wedding Fairy sells either full planning or a design-and-day-of package.

Planners for couples abroad

If you are planning from the UK, Europe or the United States, a local planner is the difference between a wedding you have seen and one you have only read about. The Wedding Fairy describes itself as a destination specialist with processes built for couples abroad, Events by May offers remote planning for overseas couples, Trunk Events names experience with overseas couples, and Wedding Concepts is a long-established luxury studio with an international clientele that also handles coastal and safari venues. None of the listings states which languages the team speaks, so if you need German or Dutch, ask in your first message.

A planner cannot sign the legal paperwork for you, but the good ones know which marriage officers work with foreign couples, what documents your embassy issues and how many days before the wedding you need to arrive. Our guide to getting married in South Africa as a foreigner covers the documents and timing, and our destination wedding guide walks through an 18-month plan from abroad.

Planners who also do design and décor

Several Winelands planners run styling in-house, which simplifies the supplier list and the invoices. Trunk Events combines planning, coordination and styling, with a founder who has more than 20 years in styling. Events by May includes décor and floral design. Wedding Concepts designs in-house for its limited number of weddings a year. Two florists on our books also coordinate: Love Affair Events & Décor Hire in Somerset West, with a hire collection of more than 1 000 items and on-the-day coordination, and André, a Cape Town florist who runs the day as well as the flowers.

Planner or venue coordinator?

Most Winelands estates assign a venue coordinator, and some, such as Au d'Hex in Wellington with its venue manager and Die Kalkoonde with its in-house coordinator, build that person into the package. That person looks after the venue's side: the room, the kitchen, the timing of the estate's own staff. They do not chase your florist, build your budget or tell the band when to stop. If your wedding is at an all-inclusive venue with 80 guests and family nearby, a venue coordinator plus an on-the-day planner may be enough. If you are abroad, have 150 guests or are using a venue-only farm with outside caterers, a full or partial planner earns the fee.

Questions to ask a planner

  • Is the fee flat or a percentage, and what is counted in the budget if it is a percentage?
  • How many weddings do you take on a weekend, and who is on site on the day if you are not?
  • Which Winelands venues have you worked at? A planner who knows the estate knows its curfew, its wine rule and its wet-weather plan.
  • Do you take commission from suppliers, and will you show us the supplier's own quote?
  • For overseas couples: how do you run meetings across time zones, and can you do venue viewings on our behalf?
  • Do you handle the marriage officer booking and the document checklist?

When to book

Planners who take a limited number of weddings, such as Wedding Concepts, fill peak-season Saturdays well ahead, and most couples book a planner before or alongside the venue, which means 12 to 18 months out for October to April dates. On-the-day coordination can be booked much later; Salt & Light's package begins nine weeks before the wedding. Trunk Events offers a complimentary discovery call, and every listing here takes enquiries by email, so planning across time zones is straightforward.

For the budget conversation that comes before the planner, our Winelands wedding cost guide has worked budgets by guest count, and the luxury Winelands venues guide covers the exclusive-use estates where a planner is usually expected.

Questions couples ask

What does a wedding planner cost in South Africa?

Bridebook's 2025 survey gives an average of R15 000 to R50 000, with a fee of 10 to 15 per cent of the budget also common. On a R200 000 wedding, the national average, that is roughly R20 000 to R30 000. On-the-day coordination is at the lower end; full planning for a large or luxury wedding is at the top or above it.

What is the difference between a planner and the venue coordinator?

The venue coordinator works for the estate and manages its spaces, staff and kitchen on the day. A planner works for you: budget, suppliers, timeline, design and the running of the day. Some all-inclusive venues such as Au d'Hex and Die Kalkoonde include a coordinator, which can be enough for a simple wedding, but it is not the same service.

Do we need a planner for a destination wedding?

Almost always, yes. A local planner can view venues, meet suppliers and handle the day in person while you are abroad, and knows how the legal side works for foreign couples. The Wedding Fairy, Events by May, Trunk Events and Wedding Concepts all list experience with overseas clients.

Are there German- or Dutch-speaking planners in the Winelands?

None of the planners we list states its languages on its site, so we cannot confirm this. Ask in your first enquiry. All of them plan by email and video call, so language is usually only an issue on the day itself, when an interpreter among the guests is often enough.

Can a planner handle the legal paperwork?

A planner cannot register a marriage; only a registered marriage officer can. What a planner can do is book the officer, send you the document checklist for your nationality and make sure you arrive early enough. Our guide to getting married in South Africa as a foreigner sets out the documents and timing.

When should we book a planner?

For full planning, before or alongside the venue, which for a peak-season Saturday means 12 to 18 months ahead. Partial planning can start once the venue is signed. On-the-day coordination is booked last; Salt & Light's coordination package begins nine weeks before the wedding.

Do Winelands planners also do flowers and décor?

Several do. Trunk Events, Events by May and Wedding Concepts design in-house, and Love Affair Events & Décor Hire and André are florists who coordinate the day as well. Using one team for planning and styling cuts the number of suppliers and invoices, but ask whether the design fee is separate from the planning fee.
